What goes wrong without a held file

Sweet boxes are judged on presentation, and presentation is unforgiving of small changes. If the tray cavity moves a few millimetres, pieces sit higher and mark against the lid on the way to the table. If the wrap comes from a different mill with more dot gain, a solid colour prints heavier than the approved sample and the brand reads differently without anyone naming the cause.

The usual cause is a scramble. A festive order lands late, last year's artwork cannot be found, and somebody rebuilds it from a photograph. It looks close enough at proof stage and not quite right once the boxes are open in front of guests.

The cost of that scramble is rarely the artwork. It is the re-proofing, the missed festive date and the handful of boxes set aside because the colour did not match the rest of the run. None of it shows up as a line item, which is why it keeps happening.

The file we keep

  • Final dieline with board grade and GSM, plus the tray drawing with cavity positions and depth.
  • Print artwork with ink references, lamination type, and any foil or emboss blocks stored separately.
  • An approved sample from the most recent run, dated, stored flat and out of the light.
  • A note of the sweets the tray was sized for, and the tallest piece the lid actually clears.

That last line matters more than it sounds. Assortments change from one season to the next, and a tray sized for one piece height will not clear a taller one, so a written note saves a re-cut when somebody swaps the contents at short notice.

Sizes are worth recording too. Note the outer dimensions, the board grade and GSM, and the print reference on the same sheet as the tray drawing, because a sweet box that changes size even slightly changes the shipping carton around it and the count per case.

Between seasons

Retaining a sweet box between seasons is mostly a storage habit. Keep one sample box and one spare tray, label both with the run date, and store them somewhere flat and dry. Card remembers how it was folded, and a box kept on its side under weight will hold that shape when it comes back out months later.

We also keep the cutting form reference wherever a die was made for the job. A dieline redrawn from scratch rarely lands on exactly the same fold positions as the original, and a millimetre of difference is easy to see where a lid meets a base.

A second spare tray is worth keeping as well. If the first is damaged or mislaid, the spare goes to the printer as the reference, and the held specification never has to be rebuilt from a drawing that may have moved on since.

When a change is needed

Gift lists move and sometimes the tray has to follow them. When that happens we change the insert drawing, leave the outer structure alone, and pull a fresh sample for approval before bulk production. The outer box stays recognisable, the reorder stays short, and the folder is updated so the next run has one version of the truth rather than three.
